Global Data Privacy Notice

The personal data that you share with us through this website and our e-recruitment service (your “personal data”) is being collected by, and will be processed by, Hitachi, Ltd. and its group companies (collectively “Hitachi”). The address of Hitachi, Ltd. is 1-6-6 Marunouchi, Chiyoda-ku, Tokyo 100-8280 Japan. By creating a profile or submitting a job application through this site you agree that your personal data may be shared between Hitachi group companies in accordance with the terms of this Data Privacy Notice. Personal data that you provide through this website will be stored and processed by Hitachi’s global recruitment website service provider, Oracle Corporation of 500 Oracle Parkway, Redwood Shores, CA, 94065, USA and its sub-contractors (“Oracle”). The United States is recognized as providing adequate protection for personal data to the extent that the company holding and processing the data in the US is certified as adhering to one or both of the Privacy Shield Frameworks. Oracle complies with the EU-US Privacy Shield Framework and the Swiss-US Privacy Shield Framework as set forth by the US Department of Commerce.

Personal data Hitachi collects
As part of the job application process Hitachi will collect personal data from you that may include:

• your contact information, such as your telephone number, postal address and email address
• your name, date and place of birth, age, gender, nationality, language proficiency, export control status
• information about your education, such as your academic history, academic and vocational qualifications, skills and competencies
• information about your current role and compensation, such as your job position, job grade, employment status, salary and benefits, bonus and commission entitlements
• your CV/resume documents supporting your job application, including reference letters and transcripts
• information about your employment history
• information about your job application history
• any other information you voluntarily provide

Use of our e-recruitment service will not oblige you to provide sensitive personal data (such as data relating to gender, race or ethnic origin, political opinions, religious beliefs, trade union membership, criminal record, physical or mental health, or sexual orientation) unless it is required by the laws of the country in which the job for which you are applying is located. However, such information may be collected if you volunteer it in response to any equality questionnaire from Hitachi. If you do provide sensitive personal data, that data will only be used to help ensure equality and diversity in the workplace or to comply with applicable legal requirements, and you consent to your data being used for this purpose and in accordance with this statement.
The personal data and information that you submit for a job application must be complete and accurate. Providing false information during any stage of the application process may result in the termination of the job application process or subsequent termination of employment.

How Hitachi uses your personal data
It is Hitachi’s policy to process personal data for business purposes only.

Hitachi may use your personal data:

• to evaluate your qualifications for the desired position
• to process your job application
• to contact you at any time during the job application process
• with your consent, to inform you about and consider you for future job opportunities that may be of interest to you in the next 12 months
• to support any offer of engagement by Hitachi
• as the basis for your employee record
• to contact you for further information where appropriate
• to comply with applicable legal requirements and Hitachi's employment and compliance policies

If you are resident in the EU then Hitachi will only collect and use your personal data where it has a legal basis for doing so. In almost all cases the legal basis will be:
• that you have expressly consented to the processing of your personal data for the purposes set out in this Data Privacy Notice or
• that it is appropriate in order to take steps prior to entering into a contract with you; or
• that it is necessary for the purposes of the legitimate interests of Hitachi.
When relying on the legitimate interests basis for processing your personal data, we will balance the legitimate interest pursued by us with your interests and fundamental rights and freedoms in relation to the protection of your personal data to ensure it is the most appropriate legal basis for processing your personal data.

Your personal data will only be disclosed to Hitachi employees with responsibility for processing job applications.

Hitachi will not process personal data on this website for marketing purposes without your consent. When you create an account on this website, Hitachi will ask for your consent to send you job alert email notifications whenever a new position matching your profile is posted. You can stop receiving these notices by logging into your user account and changing your preferences at any time.

Should you not wish to consent to receiving marketing, this will in no way influence any suitability or selection criteria applied in considering you for employment with us.

Sharing of your personal data by Hitachi
When you create a profile or apply for a job through this website your personal data may be shared with individuals with responsibility for recruitment in Hitachi companies.

In addition, the Hitachi company you are creating a profile with or submitting a job application to may share your personal data among its departments, with other Hitachi companies or with third-party service providers for purposes relating to the administration, evaluation and management of your job application or future job opportunities as described in this Data Privacy Notice. For the avoidance of doubt, and with the exception of the transfer of your personal data to Hitachi’s global HR platform provided by Workday, Inc. in the event that your job application is successful, Hitachi will not disclose or transfer your personal data to third-party service providers without your consent or unless under a legal obligation to do so.
Please note that the sharing of your personal data between Hitachi group companies may result in your personal data being shared with, or made available to, Hitachi group companies in countries where the local laws may not afford the same level of data protection as your country of residence. However to safeguard your personal data Hitachi will ensure that its group companies will only act on instructions or directions received from Hitachi and shall adopt at least the same or higher standards of data protection as is described in this Data Protection Notice and as required by applicable laws.


Your rights
You can withdraw your consent to the processing of your personal data at any time. Alternatively, you can request full deletion of your personal data at any time (see the "how to contact us" section below).
You can update or amend your personal data at any time by accessing your account on this website using your user name and password.
Depending on your country of residence you may be able to access your personal data by contacting Hitachi (see the "how to contact us" section below). Subject to applicable law a fee may apply to access your personal data.

If you are resident in the EU then you will also have a number of data protection rights under the General Data Protection Regulation (GDPR) and you are entitled to exercise these rights free of charge. These rights include:

Right of access
You have the right to confirm with us whether your personal data is processed, and if it is, to request access to that personal data including the categories of personal data processed, the purpose of the processing and the recipients or categories of recipients of that personal data.

Right to rectification
You have the right to rectify inaccurate or incomplete personal data concerning you. In addition, the Taleo system offers a self-service function that allows you to access and review your personal data. We encourage you to review this personal data regularly to ensure that it is complete and up-to-date.

Right to erasure (right to be forgotten)
You have the right to ask us to erase personal data concerning you (although please note that this is not an absolute right. There are circumstances where you may not be able to exercise this right, and there are also circumstances where we can refuse to comply with your request, for example, where we need to process your personal data to defend legal claims).

Right to restriction of processing
In limited circumstances, you have the right to request that we restrict processing of your personal data.

Right to data portability
You have the right to receive personal data concerning you, which you have provided to us, in a structured, commonly used and machine-readable format and you may have the right to transmit that data to another entity.

Right to object and rights relating to automated decision-making
Under certain circumstances you have the right to object, on grounds relating to your particular situation, at any time to the processing of your personal data, including profiling, by us and we can be required to no longer process your personal data. This may include requesting human intervention in relation to an automated decision so that you can express your view and to contest the decision.

EU residents also have the right to lodge a complaint with the competent Supervisory Authority as well as seek legal redress.


Transfer of your personal data to other countries
Use of this website means that your personal data will be transferred to, stored at and processed in a country (or countries) outside your country of residence in the manner outlined in this Data Privacy Notice.

 

How Hitachi protects your personal data
Hitachi has put in place appropriate organizational and technical measures in order to reduce ‘high’ or ‘very high’ risk in the processing of personal data and reduce this to a residual risk that does not cause harm or damage. Your personal data will be processed on servers by Oracle in its capacity as the data processor.

Oracle has its own privacy policy, which can be accessed at http://www.oracle.com/us/legal/privacy/index.html.

Your personal data will be retained for the period necessary to complete the recruitment process or for any longer period as may be required by law.

Retention of your personal data
EU residents: It is our policy not to process your personal data for longer than is necessary for the purpose for which it has been collected. We will observe the following data retention periods:
• where you have applied for a specific role and have not indicated that you would like us to retain your personal data on file for future job opportunities, we will delete your personal data within 6 months after the vacancy for the role closes; and
• where you have indicated that you would like us to retain your personal data for future job opportunities we will delete your personal data after 12 months.

Non-EU residents: It is our policy to delete your personal data after 12 months. Before then, you have the right to log into your account at any time and deactivate it.

Export Control
Hitachi companies may be required by U.S. export control laws and regulations to restrict access to, or seek prior U.S. government approval for, the release of controlled technology and/or software source code to citizens or nationals of certain countries. Pursuant to Section 734.2 (b)(ii) of the Export Administration Regulations, the release of controlled technology and/or software to you, even within the United States, during the course of your employment is 'deemed' to be an export to the country of your citizenship or nationality. Therefore, Hitachi may be required to obtain a license from the relevant U.S. government authorities before hiring, transferring, or promoting you to the subject position.

Attention: If the position for which you have applied requires access to controlled technology and/or software source code and Hitachi is unable to obtain the proper authorization from the U.S. government, Hitachi reserves the right to rescind its offer in whole or in part.

In order to comply with these legal requirements, Hitachi must ascertain whether a U.S. government license or other authorization is required for you to perform the subject job responsibilities. As a part of this process, it is necessary for you to provide the information requested.

The export questions included in the application process will be used to determine your eligibility to access controlled technology and/or software relevant to the position for which you have applied. The information will be kept strictly confidential. Citizenship and national origin are not bars to employment, promotion, or transfer.

Updates to this Data Privacy Statement
We reserve the right to amend this Data Privacy Notice at any time by posting an updated version on this site. The title of the Data Privacy Notice indicates the date of the last update.
